The Executive Assistant Role

We are seeking a highly organized, proactive, and experienced Executive Assistant to support our Chief Financial Officer and Chief Legal Officer. This role provides high-touch, hands-on executive support in a fast-paced, high-growth environment. The ideal candidate has prior experience supporting C-suite executives, thrives in a dynamic startup environment, and enjoys the day-to-day responsibilities of being a trusted Executive Assistant.

This role is well suited for someone who is exceptionally organized, resourceful, and adaptable, with the ability to manage complex calendars, coordinate meetings and travel, anticipate executive needs, and navigate shifting priorities with ease. Sound judgment, discretion, and the ability to stay several steps ahead are essential.

Serving as a key administrative partner to both executives, you will help keep their days running smoothly, ensure their time is managed effectively, and coordinate the details that allow them to stay focused on their respective responsibilities. You'll be comfortable operating with a high degree of autonomy, handling confidential information, and bringing structure and organization to an evolving environment.

What You'll Do

  • Provide comprehensive administrative support to the CFO and CLO, including complex calendar management, scheduling, meeting coordination, and inbox support as needed.
  • Coordinate domestic and international travel arrangements, expense reports, and other administrative logistics for both executives.
  • Proactively manage competing priorities, anticipate scheduling conflicts, and exercise sound judgment when managing requests and protecting executive time.
  • Coordinate leadership meetings, team events, offsites, and other internal and external engagements, ensuring all logistics and materials are organized.
  • Support the coordination and preparation of business reviews, quarterly meetings, and board materials, including gathering content, organizing presentations, and following up with relevant stakeholders.
  • Assist with meeting preparation and coordination related to company and departmental OKRs, ensuring materials, schedules, and logistics are in place.
  • Serve as a point of contact for internal and external stakeholders, helping manage requests, coordinate communication, and ensure appropriate follow-through.
  • Stay ahead of executive needs, identify potential issues before they arise, and help both executives navigate a fast-moving and ever-changing schedule.
  • Partner with the CFO and CLO’s direct reports and cross-functional teams to drive alignment, operational efficiency, and process improvements across the Finance and Legal organizations
  • Build empathetic relationships with ease, maintaining strong situational awareness of team culture and morale while helping executives recognize key milestones and achievements.

What We Look For

  • 5+ years of experience directly supporting C-suite executives, ideally within a startup or high-growth company.
  • Experience supporting multiple executives simultaneously, with the ability to balance competing priorities and manage complex schedules.
  • Strong traditional EA skill set, including calendar management, travel coordination, expense reporting, meeting planning, and general administrative support.
  • Highly proactive and anticipatory, with the ability to think ahead, identify potential challenges, and independently manage day-to-day executive needs.
