About the Role at RobCo

RobCo is building the category of Autonomous Industrial Robotics and we're doing it fast. We believe that automating the ordinary frees humans to do the extraordinary, and we're building the end-to-end robotics infrastructure to make that possible - hardware, software, and AI in one stack that just works.

The Role

In this role, you are the first point of contact in our Munich office and work closely with our Workplace Operations Lead to keep daily operations running smoothly. You will run our front desk and front office, and support workplace, fleet, vendor and administrative topics as we continue to scale rapidly. Your proactive, hands-on approach makes sure our team and our visitors get the support they need while we build the future of industrial robotics.

Your Responsibilities

Run the Front Desk & Office Organization: Be the central point of contact at our front desk. Welcome visitors and candidates, manage phone and mail communications, and keep the office organized and representative.

Own day-to-day back-office operations: Keep meeting rooms and presentation tech setup-ready, manage daily mail and parcel logistics, and oversee kitchen inventory by handling regular orders to keep fridges, drinks, and coffee stations fully stocked.

Support Facility & Vendor Coordination: Coordinate cleaning teams, tradespeople, and external suppliers on site, and report maintenance issues to the property manager while ensuring clear tracking and documentation in our ticketing tool.

Support Fleet Management: Help with day-to-day fleet tasks such as key handovers, vehicle bookings, maintenance appointments, and communication with leasing companies.

Coordinate Travel & Company Events: Book business trips, hotels and appointments, and help organize internal team gatherings, in-office events and company-wide celebrations.

Office & Documentation Support: Act as the on-site contact for collecting invoices and documents, check cost centers, upload physical invoices to our expense management system, and support in person with signatures and NDAs.

Support Workplace Safety: Help the Workplace Operations Lead make sure health and safety regulations are followed in the office, for example first aid supplies, safety briefings and documentation.

Keep Front Office Processes Up to Date: Maintain checklists, documentation and recurring workflows in tools like Notion, Claude and Google Workspace, and suggest improvements where manual work can be simplified.

We're looking for someone who has
